A next step you can act on.
With the evidence behind it.
A contact’s name is only the beginning. The handoff should tell your estimator who replied, what the facility needs, what is still unknown, and what happens next.
Opportunity handoff · DEMO-001
Northbank Office Center · fictional facilityThe buying signal
“I handle the cleaning contract here. We’re reviewing providers next month. Can your team discuss evening service five days a week and arrange a site visit?”
Invented example reply. A real handoff preserves the actual response.
The cleaning company’s estimator replies with two available walkthrough times and confirms the address, scope, and decision process. ServiceOps records the accepted time only after confirmation.
Qualification: Relevant decision-maker + in-scope facility + explicit request to discuss service. One facility and buying need counts as one opportunity, even if several people reply.
Different responses mean different work.
| Response | Reported as | Next step |
|---|---|---|
| “Can you quote our evening cleaning?” | Active bid discussion, if role and facility fit are confirmed | Clarify scope and coordinate a walkthrough. |
| “Our review is in November; contact me October 15.” | Future review opportunity, if from the relevant decision-maker | Record the stated review window and authorized follow-up date. No meeting claimed. |
| “You should talk to our property manager.” | Referral, not yet a qualified positive opportunity | Verify the new contact and seek an explicit buying signal. |
| “Send information.” | Needs qualification unless role, need, and context are clear | Ask one relevant question. Do not inflate the opportunity count. |
| “Tuesday at 10 works for the walkthrough.” | Confirmed appointment once date, timezone, location, and attendees are settled | Send the confirmed details to the authorized representative. |
| “Remove us,” an automatic reply, or no response | Opt-out, automatic response, or no response | Suppress opt-outs promptly; exclude all three from opportunity totals. |
Would a new account justify the cost?
Use your own contract economics. These inputs are illustrative, not industry averages or a forecast. This calculation assumes a contract has already been won; it does not predict whether or when that will happen.
Monthly contribution = revenue × (1 − direct cost percentage) − extra monthly overhead. Retained contribution per account = monthly contribution × retained months − startup cost. Break-even account count = total acquisition cost ÷ retained contribution, rounded up. No assumption about close rate is included.
